Authenticity & supply chain
Inauthentic complaints and rejected invoices: build a verifiable response
A clearer explanation cannot turn an unsuitable document into proof. Review the notice, product match, and genuine supply-chain records first.
Editorial education, not official Amazon policy or legal advice. Policies change, so check the current official pages and your own notice.
Separate the complaint from the documentation problem
An inauthentic complaint appeal may involve a product-authenticity concern, a request for sourcing records, or a rejection of documents already submitted. These are related but not interchangeable. A message saying an invoice was rejected does not, by itself, tell you which part of the evidence Amazon found insufficient.
Amazon’s Anti-Counterfeiting policy requires authentic products and says sellers must provide authenticity records when requested. Its invoice guidance describes supplier-issued records of completed transactions and explains what information Amazon expects. Check both the current policy and the instructions attached to your own notice; do not borrow a document checklist from a different marketplace or violation.
Confirm whether Amazon restricted an ASIN, a listing, or the account. If an intellectual property complaint is also present, identify that separately: authenticity evidence may be relevant, but a dispute about a listing image, trademark use, or patent is not solved by the same explanation in every case.
Map the actual product to the actual transaction
Start with the unaltered supplier documents you already have. Work out which transaction relates to each affected product, including variations or bundles. Your preparation should make the connection understandable without changing what the supplier issued. Keep a separate explanatory index rather than editing a document to force a match.
- Record affected ASINs and product identifiers, the cited transaction period, and quantities Amazon asks you to substantiate.
- Check whether the supplier identity and contact information on the invoice are readable and consistent with your genuine relationship.
- Compare product names, models, variations, and transaction details with the products in the notice.
- Retain available ordering, payment, receiving, and inventory records as supporting context; do not assume those records replace a requested invoice.
When an invoice has already been rejected
Read the latest rejection alongside the specific files you sent. Amazon’s official invoice guidance lists examples of unsuitable documents, including quotations, pro forma documents, self-issued invoices, manipulated files, and illegible or incomplete records. A document that proves money changed hands may still fail to establish the product or supplier information Amazon requested.
Ask the real supplier to clarify genuine transaction records if information is incomplete. Never create a replacement invoice yourself, change a date or quantity, or buy manufactured documentation. If the requested proof does not exist, state that accurately and assess what the notice permits you to provide. No letter service can make a missing supply chain verifiable.
When Amazon gives a reason for rejection, address that reason directly in the next response. Explain the link between the supplied record and the affected product. Do not simply resend the same files with a more forceful claim that they must be accepted. Follow Seller Central’s submission instructions rather than sending supplier evidence to unrelated addresses.
Common preparation mistakes
Use the official invoice requirements for current document specifications. This guide intentionally does not repeat numeric age, quantity, or file-size rules as a universal checklist: the request in your notice and the applicable current guidance should be checked before submission.
- Treating an order confirmation or a retail receipt as automatically equivalent to the invoice Amazon requested.
- Claiming authorization, supplier verification, or a complete chain of custody without records supporting it.
- Changing supplier documents or submitting editable reconstructions as original invoices.
- Explaining general business intentions without connecting the cited ASINs to the actual transaction records.
What drafting assistance does—and does not—supply
A factual Amazon POA letter can explain your sourcing process, an evidence index, and corrective actions you really completed. It cannot certify authenticity, validate an invoice, obtain brand authorization, or guarantee that Amazon will accept a supplier.
InstantPOA’s AI draft is based on your submitted facts, not an investigation of the documents. Do not enter sensitive identity or payment-card details into a narrative just to make it sound stronger. Check every statement and attach genuine documents only through Amazon’s requested channel. InstantPOA is not affiliated with Amazon and cannot promise reinstatement.

Questions sellers ask
Does an invoice rejection mean my products are definitely counterfeit?
Do not infer a final finding from a short rejection alone. Read the notice for its stated concern. Authenticity, supplier traceability, product matching, and document suitability can raise different questions that need distinct factual answers.
Can InstantPOA make or repair an invoice for my appeal?
No. InstantPOA drafts explanations; it does not create supplier evidence or alter documents. Obtain genuine records from the actual issuer and follow Amazon’s current requirements.
Will a longer appeal make Amazon accept a rejected invoice?
Length does not resolve an evidence gap. Address the stated rejection reason with verifiable records and a clear explanation. Acceptance and the account outcome remain Amazon’s decision.
